File Management
Every file in Vetting Vault is tied to a specific request, so you always know why a document exists and where it belongs. No more digging through folder trees or guessing which version is the right one.
Overview
Traditional data rooms organize files into folder hierarchies. That works until you need to figure out which folder a particular document belongs in, or whether the file you are looking at is the latest version, or who uploaded it and when.
In Vetting Vault, files are organized by the request they fulfill. When someone uploads three years of tax returns, those files sit directly on the "Tax Returns" request item. There is no ambiguity about what the files are for, which version is current, or whether the request has been satisfied.
This approach means you spend less time managing files and more time actually reviewing them.
Uploading Files
Getting files into Vetting Vault is designed to be as fast and frictionless as possible.
- Drag and drop — Drag one or more files from your desktop and drop them onto the target request. The upload starts immediately with a progress indicator.
- Click to browse — Click the upload zone on any request to open your system’s file picker. Select one or multiple files.
- Bulk upload — Select many files at once or drop an entire folder. Vetting Vault uploads them in parallel and attaches them all to the chosen request.
Supported file types include PDF, Microsoft Word (.doc, .docx), Excel (.xls, .xlsx), PowerPoint (.ppt, .pptx), images (PNG, JPG, GIF, WEBP), plain text, CSV, and most other common document formats. There is no restriction on file type — if your deal requires specialized file formats, you can upload those too.

File Previews
Reviewing documents should not require downloading every file to your local machine. Vetting Vault provides built-in previews so you can review content directly in the browser.
- PDF preview — View PDF documents page by page with zoom, scroll, and search capabilities. No need to open a separate PDF reader.
- Image preview — View PNG, JPG, and other image files at full resolution with zoom support.
- Document preview — Word documents and spreadsheets render in the browser so you can review their content without installing Microsoft Office.
- Quick look — Click any file thumbnail to open the preview overlay. Navigate between files in the same request using arrow keys.
Tip
Version History
Deals evolve. Financial statements get restated, contracts go through redlines, and forms get corrected. Vetting Vault keeps a complete version history so nothing is ever lost.
- Automatic versioning — Every time a new file is uploaded to a request that already has files, the previous versions are preserved automatically. You do not need to do anything special to enable version tracking.
- See who uploaded what and when — Each version records the uploader’s name, the timestamp, and any notes they added at the time of upload.
- Download previous versions — Access and download any prior version of a file from the version history panel. This is useful when you need to review earlier documents or revert to a prior version.
Deleting versions
Bulk Operations
When you are working with dozens or hundreds of files, individual actions are too slow. Vetting Vault supports bulk operations to help you work efficiently at scale.
- Select multiple files — Use checkboxes or shift-click to select a range of files across one or more requests.
- Bulk download as ZIP — Download all selected files as a single ZIP archive. The archive preserves the folder structure matching your request categories.
- Bulk delete — Remove multiple files in one action (Deal Admin permission required).
Tip
File Organization
Unlike traditional data rooms that rely on folder hierarchies, Vetting Vault organizes files by their request context. This means you do not need to think about folder names or nesting structures.
- Files organized by request — Each file belongs to the request it fulfills. Navigate to the request and you will find its files.
- Search across all deal files — Use the search bar to find files by name, uploader, or date across the entire deal. Results show which request each file belongs to.
- Filter and sort — Filter the file list by file type (PDFs only, spreadsheets only, etc.), upload date, uploader, or request category. Sort by name, date, size, or type.
- File count per request — Each request item shows how many files are attached, giving you a quick sense of completeness without opening the item.
Download Options
Vetting Vault provides flexible download options depending on whether you need a single file, a set of files, or the entire deal.
- Individual file download — Click the download button on any file to save it to your local machine.
- Download all files for a request — On any request item, click "Download All" to get a ZIP containing every file attached to that specific request.
- Download entire deal as ZIP — Export the complete deal as a ZIP archive. The folder structure inside the archive mirrors your request list categories, so the downloaded package is organized the same way it appears in Vetting Vault.
- Download by category — Download all files within a specific category (for example, all Financial documents) as a single ZIP.
Note
Financial/Tax Returns/filename.pdf inside the ZIP. This makes the download immediately usable as a traditional data room export.
