Notifications

    Notifications keep you informed about deal activity without needing to constantly check the platform. Get alerts for the events that matter to you, delivered how you prefer.

    Overview

    Active deals generate a lot of activity: files uploaded, statuses changed, chat messages sent, questions asked, deadlines approaching. Notifications ensure you never miss something important without requiring you to monitor every deal in real time.

    Vetting Vault delivers notifications through two channels: in-app (a notification bell in the top navigation) and email (messages to your inbox). You can control which events trigger notifications and how they are delivered, so you get exactly the right amount of information.

    Notification Types

    Notifications reach you through two channels. Most people use both, but you can configure each independently.

    In-App Notifications

    In-app notifications appear in real time while you are using Vetting Vault:

    • Notification bell — The bell icon in the top navigation shows a badge count when you have unread notifications. Click it to see your notification feed.
    • Real-time delivery — Notifications appear instantly as events happen. If someone uploads a file or @mentions you in chat, you see it within seconds.
    • Direct navigation — Click any notification to jump directly to the relevant item — the specific request, chat message, or Q&A question that triggered the alert. No hunting through the workspace to find what changed.
    • Mark as read — Notifications are automatically marked as read when you click them. You can also mark all notifications as read to clear your badge count.

    Email Notifications

    Email notifications reach you even when you are not actively using Vetting Vault:

    • Delivered to your inbox — Notifications are sent to the email address associated with your Vetting Vault account.
    • Context included — Each email notification includes enough context to understand what happened: who did what, on which deal, and on which request or chat thread.
    • Direct links — Every email notification includes a link that takes you directly to the relevant item in Vetting Vault. One click from your inbox to the exact spot that needs your attention.
    • Instant or digest — Choose between instant delivery (one email per event) or a digest that summarizes all activity. Digests can be sent daily or weekly, depending on your preference. The digest is a good option if you want to stay informed without a high volume of individual emails.

    @mention notifications

    When someone @mentions you in Deal Chat, you always receive both an in-app notification and an email notification (unless you have specifically disabled email for @mentions). This ensures you never miss a message directed specifically at you, even if you are not logged in.

    Events That Trigger Notifications

    The following deal events can trigger notifications. Each can be independently enabled or disabled in your preferences:

    • New file uploaded — When someone uploads a file to a request you are assigned to or following.
    • @mention in Deal Chat — When someone mentions you by name in a chat message.
    • Request status changed — When a request you are assigned to or following changes status (e.g., from “Open Item” to “Submitted” or “Completed”).
    • Team member invited or removed — When someone new joins or leaves a deal you are part of.
    • Due date approaching — A reminder when a request you are assigned to has a due date coming up. Sent in advance so you have time to act.
    • Due date passed — An alert when a request due date has passed without the request being fulfilled.
    • Comment on a request — When someone adds a comment to a request you are assigned to or have previously commented on.

    Customizing Your Preferences

    You have full control over which notifications you receive and how:

    1. Navigate to notification settings — Click your profile icon and select “Settings”, then go to the “Notifications” tab.
    2. Toggle individual event types — Each event type listed above can be independently enabled or disabled. Turn off events that are not relevant to your role.
    3. Choose delivery method — For each event type, choose whether to receive notifications in-app only, email only, or both.
    4. Set email frequency — Choose between instant emails (one per event), a daily digest, or a weekly digest that bundles notifications into a single summary email.

    Managing notification volume

    If you are on multiple active deals, notification volume can get high. A good approach is to keep instant notifications for direct actions (assignments, @mentions, due dates) and switch to the daily digest for informational events (status changes, new uploads). This way, you are immediately aware of things that need your response while staying informed about general deal activity without inbox overload.

    Managing Notification Volume

    As your deal activity increases, smart notification management becomes important. Here are some strategies:

    • Use @mentions deliberately — When sending chat messages, only @mention someone when you specifically need their attention. This keeps @mention notifications meaningful and prevents people from ignoring them due to overuse.
    • Batch with daily digests — Switch to daily digest emails for event types that are good to know but do not require immediate action. The digest gives you a summary without cluttering your inbox throughout the day.
    • Mute inactive deals — If you have access to a deal but are not actively working on it, you can mute notifications for that specific deal. You still have full access to the deal if you navigate to it, but you will not receive alerts for routine activity.
    • Focus on what needs your action — The most important notifications are for requests assigned to you and @mentions. Keep those enabled even if you turn down other notifications.

    Best Practices

    Getting notifications right is about finding the balance between staying informed and avoiding overload:

    • Keep critical notifications enabled — At a minimum, keep notifications on for assignments, @mentions, and approaching due dates. These are the events most likely to require your direct action.
    • Use daily digest for less urgent updates — Status changes, new uploads by others, and team changes are useful to know about but rarely require an immediate response. The daily digest is ideal for these.
    • Check in-app notifications regularly — Make it a habit to glance at the notification bell when you log in. This catches anything that might not have been important enough to warrant an email but is still worth knowing.
    • Do not rely solely on email — If you use aggressive email filters or have a crowded inbox, important deal notifications could get buried. The in-app notification feed is always a reliable, unfiltered view of deal activity.
    • Set expectations with your team — Agree on notification norms with your deal team. For example, if the team agrees that @mentions mean “I need a response within 24 hours,” everyone knows how to interpret them and when to use them.
